GENERAL DESCRIPTION OF POSITION
Under the direction of the Deputy Fire Chief - CRR, the Administrative Assistant will perform a variety of functions related to personnel, financial, and record-keeping aspects of the department. This position requires a self-motivated, quick learning, and fast-paced individual. The Rogers Fire Department is a fast-paced work environment that includes community risk reduction, eight fire stations, one training center, and over a hundred uniform firefighters. The Administrative Assistant will work with other members of the Community Risk Reduction Division.
ESSENTIAL DUTIES AND RESPONSIBILITIES
-Monthly data collection, analysis, and submittal to appropriate government entities. This duty is performed about 5% of the time.
-Business License verification, billing, collection, and issuance. This duty is performed about 75% of the time.
3. Monthly tracking of inspection performance and compliance. This duty is performed about 5% of the time.
-Monthly tracking of budgetary expenditures with annual fire department budget for analysis. This duty is performed about 5% of the time.
-Inspection scheduling and tracking. This duty is performed about 5% of the time.
-Significant assistance with divisional personnel and on-going personnel record maintenance. This duty is performed about 5% of the time.
-Perform any other related duties as required or assigned.
QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
EDUCATION AND EXPERIENCE
High school or GED, plus specialized schooling and/or on the job education in a specific skill area; e.g. data processing, clerical/administrative, equipment operation, etc, plus 2 years related experience and/or training, or equivalent combination of education and experience.
COMMUNICATION SKILLS
Ability to read and understand simple instructions, short correspondence, notes, letters and memos; ability to write simple correspondence. ability to read and understand documents such as policy manuals, safety rules, operating and maintenance instructions, and procedure manuals; ability to write routine reports and correspondence. ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers, clients, general public and other employees of the organization.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts such as fractions, ratios, and proportions to practical situations.
CRITICAL THINKING SKILLS
Ability to utilize common sense understanding in order to carry out written, oral or diagrammed instructions. Ability to deal with problems involving several known variables in situations of a routine nature.
